Privacy Policy

Modlr LLC ("Coachr," "we," "us," or "our") operates usecoachr.com and the Coachr application. This Privacy Policy explains what information we collect, how we use it, and your rights with respect to it. By using Coachr, you agree to the practices described in this policy.

1. Information We Collect

We collect the following categories of information:

• Account Information: Your email address and password when you create a coach account.
• Coach Profile Data: Information about you as a coach including your name, coaching style, and professional context used to configure the platform.
• Client Records: Information you enter about your clients including their names and contact details you choose to provide within the platform.
• Client Voice Profile Data: Responses collected from your clients through Coachr's intake interview process, covering their tone, vocabulary, storytelling patterns, delivery style, and personal context. This data is stored as structured JSON and powers the scripts Coachr generates for each client.
• Video URLs and Transcripts: URLs of TikTok, Instagram Reels, or YouTube Shorts videos you submit for hook extraction. Transcripts are pulled automatically and processed to generate scripts.
• Usage Data: Pages visited, features used, session duration, and similar interaction data collected automatically.
• Payment Information: Billing details processed by Stripe. We do not store full payment card numbers on our servers.
• Communications: Any messages you send to our support team.

2. How We Use Your Information

We use the information we collect to:

• Provide, operate, and improve the Coachr application and related services.
• Generate AI-powered TikTok scripts personalized to each client's voice profile and the viral hooks extracted from submitted video URLs.
• Store and retrieve client voice profiles so coaches can generate scripts across multiple sessions without repeating the intake process.
• Share client voice profiles with other apps in the Modlr suite (such as Modlr) if the coach or client holds an active subscription to those products.
• Process payments and manage your subscription.
• Send transactional emails including receipts, subscription confirmations, client intake notifications, and service updates.
• Respond to support requests.
• Monitor for fraud, abuse, or violations of our Terms of Service.

3. Client Data and Coach Responsibility

Coachr is a B2B platform. Coaches are responsible for obtaining appropriate consent from their clients before submitting client information through the Coachr intake process. By using Coachr to collect client voice profiles, you represent that you have the authority and consent to do so.

Client voice profile data is stored under your coach account and is not accessible to other coach accounts. We do not sell, rent, or share client data with third parties outside of the service providers necessary to operate Coachr.

4. Voice Profile and AI Processing

Client voice profiles are the core of the Coachr experience. They are stored as structured data tied to each client record and used to personalize every script the platform generates.

When video URLs are submitted for hook extraction, transcript data is retrieved via third-party services (Apify for TikTok and Instagram, YouTube Data API for YouTube Shorts) and sent to Anthropic's API for AI processing. Anthropic's data handling is governed by their own privacy policy. We do not sell voice profile data or transcript content to third parties.

5. Data Sharing

We do not sell your personal information or your clients' information. We share information only in the following circumstances:

• Service Providers: With third-party vendors who help us operate the service, including Anthropic (AI processing), Stripe (payments), Supabase (database and authentication), Apify (transcript pulling), and hosting providers. These vendors are contractually bound to protect your data.
• Within the Modlr Suite: Client voice profiles may be accessible across Modlr suite products (Modlr, Closr, Analyzr, Profilr) if the coach or client holds an active subscription to those products.
• Legal Requirements: If required by law, court order, or to protect the rights and safety of our users or the public.
• Business Transfers: In connection with a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

6. Data Retention

We retain your account information and client voice profiles for as long as your account is active. If you cancel your subscription and close your account, we will delete your personal data and associated client data within 30 days, except where retention is required by law or legitimate business purposes such as fraud prevention.

7. Security

We use industry-standard measures to protect your information, including encrypted data transmission (HTTPS) and access controls on our database. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

8. Your Rights

Depending on your location, you may have the right to access the personal data we hold about you, request correction of inaccurate data, request deletion of your account and associated data, and opt out of marketing communications at any time.

9. Children's Privacy

Coachr is not directed to children under the age of 13. We do not knowingly collect personal information from children. If we become aware that we have collected data from a child under 13, we will delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top of this page and, where appropriate, notify you by email. Continued use of Coachr after changes are posted constitutes your acceptance of the updated policy.
